How to switch studio software without losing members or data

The number one reason studios stay on software they’ve outgrown is fear of the switch — losing members, breaking bookings, or spending a fortnight re-typing data. It doesn’t have to be like that. Here’s how a clean migration actually works.

1. Export everything before you touch anything

Ask your current provider for a full export: members and contact details, active memberships and credit balances, your class schedule, and payment history. Keep a copy for yourself regardless of where you’re moving — it’s your data.

2. Rebuild the schedule and memberships first

Set up your class types, timetable and membership/pack options in the new system before you move anyone. This is the skeleton — get it right and everything else slots in. A good provider will do this with you rather than hand you a blank screen.

3. Move members with their balances intact

The bit people worry about most. Members should arrive with their remaining credits and active memberships, so nobody loses what they’ve paid for. Confirm exactly how credit balances and recurring memberships carry across before you commit.

4. Communicate the change clearly

  • Tell members a few days ahead: what’s changing, and what they need to do (usually very little).
  • Send a simple "here’s how to book now" message with a direct link.
  • Reassure them their credits and memberships have come across.

5. Pick a switch date — and switch once

Don’t run two systems side by side — that’s how double bookings, confused members and twice the admin happen. Choose a quiet day, import your members with their balances, send everyone their "set your password" message, and from that moment every booking lives in the new system. The export you took in step 1 is your safety net if you ever need to look something up — you don’t need the old system running to have a fallback.

Done well, the whole switch happens in a day — especially when the new provider does the import and the member emails with you, instead of leaving you to it.
